Academic Dress Information


In order to participate in your graduation ceremony, you will be required to wear full academic dress. Your academic dress requirements depend on the School you studied in, and what award level you are completing. Academic dress will be available to collect prior to and on the day of graduation and assistance on how to wear your academic dress will be provided on the day.

Graduate Information


What time do I need to arrive for my graduation ceremony?
You are required to arrive one hour before your ceremony at the allocated assembly point from where you will process to Winthrop Hall. If you are running late please make your way to Winthrop Hall and report to the Information Tent. Please sit in your allocated seat in the hall to ensure you are in the correct order for presentation. Please ensure that you are wearing the appropriate academic dress. Further information regarding when to arrive and where to go on the day of your ceremony is available on the Graduations website.

What happens in a graduation ceremony?
In brief, at the commencement of the ceremony, members of the audience are asked to stand while the Academic Procession enters Winthrop Hall. Graduands and guests remain standing until the Chancellor asks the audience to be seated after which time a brief welcome address is delivered.

At a point in the ceremony graduands are asked to take their lead from Graduation staff who will arrange them for presentation. When the conferring of degrees commence, successive rows of graduands will be directed to rise, file out of their seating row and move towards the stage.

The Dean / Head of School of your School will read out the names of all Graduands present in the Hall and one by one Graduands will cross the stage. The graduand walks towards the Chancellor, stops at a spot marked on the floor, doffs their mortarboard (this will be the stage photo) and walks back to their seat via the stairs in the centre of the Dais. There will be no hand shaking and appropriate COVID-19 physical distance will be maintained while ensuring the graduand receives a quality stage photo.

After all graduands have crossed the stage for respective degrees, diplomas and certificates, individual cohorts will be asked to stand and the Chancellor will confer the awards. Once your award is conferred you become a graduate of The Univeristy of Western Australia.

The Warden of Convocation officially welcomes the new graduates as lifelong members of the University and the Valedictory Address will be delivered. On occasions the University may also award Honorary Degrees and/or Chancellor's Medals to distinguished invitees who have made an invaluable contribution to the University and the community.

At the end of the ceremony the audience will be asked to stand; all new graduates will join the official procession and exit Winthrop Hall.
Refreshments will be served on Whitfield Court.

Parking Information


Please check the Graduations Website for availability of parking for each graduation ceremony.
Disabled parking bays are located in every Car Park on the Crawley Campus and require a current Disability Permit.
Pay parking is on the roads surrounding UWA. This parking is controlled by the City of Subiaco, City of Perth and City of Nedlands.

Photography & Merchandise


GFP are the official suppliers of graduation photography and merchandise for UWA. Please visit the GFP website for further details.
To save time on the day you may like to pre-order your studio photography session.

GFP's Premium Studio Sitting ($35) allows you to have photos taken at your ceremony with family and friends. From there you can view and order your prints and downloads through a private online gallery. The Premium Studio Sitting does not include any prints or downloads but covers the cost of having the photos taken.

GFP's Premium Studio USB option ($295) includes all your professional individual and family photographs transferred onto a USB at the ceremony.

GFP professional photography team will capture your moment on stage. Prints including the university logo, border and year of graduation are available for pickup at the conclusion of the ceremony. Your stage photo will also be available to view and purchase through our website following your ceremony for $35.

GFP is the official supplier of graduation memorabilia such as bears, certificate frames and plaques, flowers, graduation rings, pins and charms.  All available for purchase on graduation day. See the GFP website if you would like to pre-order your items and collect on the day.

On-campus Live-Stream & Refreshment Package


We understand your graduation is an important celebration of your hard work and achievements that you would like to enjoy with your family and friends. The limited seating in Winthrop Hall means guest tickets are limited so to enable you to share the experience with more loved ones you have the option to purchase up to ten graduation live-streaming and refreshment packages from GFP Graduations. The cost of the package is $25.00 per person and it includes:

  • Unallocated seating within a live-streaming venue at the UWA CAmpus; 
  • Live-streaming of the graduation ceremony;
  • Post-ceremony reception. Refreshments consist of alcoholic and non-alcoholic drinks and canapés.
  • The live-stream for the December ceremonies will be held in the Alexander & Murdoch lecture theatres.

Ticket orders and ticket sales will be available via this portal up until midday the working day prior to each ceremony.

Livestream tickets will also be available for sale from the Information Tent outside the entrance to Winthrop Hall, 1 hour before the start of each ceremony.
A limited number of tickets for Winthrop Hall may become available due to the reallocation of tickets resulting from late cancellations. If this happens, you will be able to exchange some or all of your graduation live-streaming and refreshment package tickets for guest ticket(s) in Winthrop Hall, at the Information Tent outside Winthrop Hall, one and a half hour before your ceremony.

Tickets will be exchanged on a first come first served basis. There is no guarantee that there will be any unallocated tickets for any of the ceremonies.

Viewing the ceremony online via a Live-stream link

For friends and family who are unable to attend your physical graduation ceremony, they will be able to view your graduation ceremony live via this link here. Please note this is different to viewing the ceremony from the on-campus live-stream venue. Tickets do not need to be purchased to view the ceremony remotely via the live-stream link.

All graduation ceremonies are held in Winthrop Hall at The University of Western Australia, 35 Stirling Hwy, Crawley WA 6009.
Winthrop Hall is located on the north side of the campus and can be accessed via Mounts Bay Road or Hackett Drive. Please refer to the Campus Map

Academic Dress


Gown Collection Times and Locations


Regalia collection is available on two days detailed below and on the day of your ceremony from the Fay Gale Studio G09

Regalia collection:
Pre Collection - Friday 10 December & Saturday 11 December from 10am – 5pm

Ceremony day pickup times -
Please note there is limited times available to collect regalia on your ceremony day.
From 8:00am until 9:00am for graduands attending the 10am ceremony
From 12:00am until 1:00pm for graduands attending the 2pm ceremony
From 4:00pm until 5:00pm for graduands attending the 6pm ceremony

Can a family member or friend collect my academic dress on my behalf?
Yes, a Collection Authorisation Form must be completed. Please ensure your Collection Agent produces it on the day in order to collect on your behalf.
Without this completed form, we are unable to provide your academic dress to anyone other than yourself.


FAQ on Academic Dress


Do I have to wear Academic Dress to participate in my Graduation Ceremony?
Yes. You will be required to wear the prescribed academic dress for the Degree or Diploma in which you are graduating. This includes a gown, a hood or stole in the appropriate colour, and a mortar board or bonnet.

I am receiving a Double Degree, how do I order my Academic Dress?
If you are receiving both Degrees in the one ceremony, then you only need to place one order. You will only need to wear the hood for the ceremony you are attending or the highest award you are receiving. If you are receiving your Degrees in separate ceremonies, then you will need to place two orders, one for each ceremony.
Please ensure you check the University's website to confirm your requirements.

When do I hire my Academic Dress?
Academic Dress will be open for booking 4-6 weeks before your ceremony

How do I work out my Gown Size?
When you place your order online you will have the option to select your size e.g. extra small, small, medium, large etc and we will also ask for your height, this will allow us to ensure you have the correct size.

Where do I return my regalia?
Once the graduation has finished and you have had refreshments and photos taken, all hire regalia needs to be returned to the eastern entrance to the Fay Gale Studio G09 on the Main walkway between Hackett and Winthrop Hall before you leave the venue.

Can I get help if I am unsure how to wear the regalia?
Yes! GFP Graduations will have a “Dress Me” station to assist graduands with their regalia, on the East side of Winthrop Hall (outside of the Hall under the Rose Window side) and will be available up until one hour before your ceremony. Just come along and one of our staff will ensure you are dressed correctly. There will also be someone to adjust your regalia right before you go on stage.

Please note, if you run out of time, staff are also available to assist graduands as they enter the ceremony.

When do I return my Academic Dress?
Gowns must be returned after you have finalized your photographic and graduation services within 2 hours of the ceremony finishing. Failure to return your academic dress within this period will incur a late fee. Please refer to the Terms & Conditions below.

What if I don't have credit card - can I pay cash?
We highly recommend you use our secure online ordering system to ensure availability. Your order confirmation and receipt will be emailed to you. There is no need to bring any paperwork when collecting your academic dress, only your student ID is required.

Alternatively, you can contact GFP on 1300 360 445 or info@gfp.com.au to make a booking and pay on the day using cash and/or debit transactions.

How can I arrange a refund for my regalia?
If you are unable to attend your ceremony and have already placed an order for academic dress, please contact the GFP customer service team to arrange a refund on 1300 360 445 or info@gfp.com.au   

Is the regalia different for Bachelor and Masters?
Yes, Bachelor gowns have long bell-shaped sleeves, split from shoulder to wrist, the arm does not pass through the split.  Hoods are fully lined in the school colour and include a ribbon trim. Masters gowns have long closed sleeves with the arm passing through a split above the elbow.  Hoods are fully lined in the school colour with no ribbon trim.

Do I have to wear anything specific under my gown?
It is important to note the gown is open at the front; therefore what you are wearing underneath is visible. It is for this reason we recommend you wear business attire, and comfortable shoes. If the day is warm, you may want to remove your jacket as the gowns are quite heavy and it may be hot in the auditorium.

How much will my Academic Dress hire cost?

Post Graduate Certificate, Diploma Suites:

Full Suite Purchase -$168 (includes, gown, hood and mortarboard )

Bachelor Suites:

Full Suite Hire - $93 (includes, gown, hood and mortarboard)

Masters Suites:

Full Suite Hire - $93 (includes, gown, hood and mortarboard)
Full Suite Purchase - $178 (includes, gown, hood and mortarboard)

PhD & Other Doctorate Suites:

Terms and Conditions
Academic Dress Hire : Academic dress MUST be booked a minimum of 3 days in advance of your ceremony day to avoid a late booking fee of $35.
Return of academic dress - Academic dress is to be returned within 2 hours of conclusion of your ceremony.
Failure to return academic dress on time will incur a charge equivalent to the balance of the purchase price of the regalia. 
Cancellation of Order - If you need to cancel your order please contact Customer Service to arrange your refund.
Generally refunds are not applicable if your cancellation occurs within 3 days of your ceremony.

How to wear your academic dress

It is important to remember that the clothing you wear to your graduation ceremony will be visible as you walk across the stage. Neat, business attire is most appropriate, with a shirt and tie recommended for male graduates. It is best to avoid jeans and sneakers. Please also note that a mortarboard must be worn as part of academic dress, which should be kept in mind when planning your hair style.

Gown
- The gown is worn over the top of your clothing like a jacket. All Masters graduates wear a Masters gown with short sleeves, all other graduates wear Bachelor gowns with full length sleeves. 

School Hood - Place the hood over your head with the button hole in the centre of your sternum, the colour should be displayed on both shoulders. 

Mortarboard - The Mortarboard sits on your head with the longer peak at the back and the tassel hanging to your left.

HOW TO CHOOSE YOUR HAT SIZE

When selecting your hat size, it is important that you measure your head accurately to ensure we provide you the correct hat.
Due to current restrictions, we cannot offer a personalised fitting service for mortarboards.

Registering your attendance:
It is imperative that you register your attendance for your graduation ceremony via the GFP online ordering portal. The purpose of registering your attendance in this portal is so that you are able to order your guest tickets, and to ensure that you will be allocated a graduand ticket and seat number.

Complimentary Winthrop Hall guest tickets:
Download up to two complimentary guest tickets for Winthrop Hall from Tuesday 30 November 2021

  • Log in to the GFP Graduations online portal to get your complimentary guest ticket(s) for Winthrop Hall. All guest tickets are electronic and available from GFP Graduations even if you do not order your regalia from them.
  • Step 1: Log in to the GFP Graduations online portal and order your tickets.
  • Step 2: You will receive an order confirmation email.
  • Step 3: Send each ticket to the individual guest.
    Once ordered, a popup will appear prompting you to download your guest tickets. Follow the link, send each individual guest their ticket. You can also complete this process by clicking on the “Click here to download your guest tickets” link in your order confirmation. Please note, you can change or update the guest details and resend them at any time. Please ensure that you have sent your guest tickets prior to the ceremony. If your guests do not have their tickets they will not be permitted entry into the venue or the refreshment area after the ceremony.
    If your guests do not present their tickets they will not be permitted into Winthrop Hall or the refreshment venue after the ceremony.
    If you have problems retrieving your tickets, please contact GFP Graduations.
  • Physical Tickets will not be posted to students under any circumstances.
  • Guest tickets for Winthrop Hall are for the graduands’ family and friends only and cannot be transferred to another graduand for use. If you no longer require your tickets, please inform the Graduations Office immediately. These electronic tickets will be cancelled and rendered unusable.
  • If you request to be transferred to a future graduation ceremony or to graduate in absentia, the Graduations Office will automatically cancel your electronic tickets and render the tickets unusable.

On-campus Live-stream guest tickets: Can I apply for or buy more guest tickets for my graduation ceremony?
We understand your graduation is an important celebration of your hard work and achievements that you would like to enjoy with your family and friends. The limited seating in Winthrop Hall means guest tickets are limited so to enable you to share the experience with more loved ones you have the option to purchase up to ten graduation live-streaming and refreshment packages from GFP Graduations. The cost of the package is $25.00 per person and it includes:

  • Unallocated seating within a live-streaming venue at the UWA Campus;
  • Live-streaming of the graduation ceremony;
  • Post-ceremony receptions. Refreshments consist of alcoholic and non-alcoholic drinks and a canapés
  • If you require more than ten extra guest tickets please contact GFP customer service on 1300 360 445 or info@gfp.com.au.
    Online purchase of live-streaming tickets for ceremonies close at midday the day prior to each ceremony.

Live-streaming tickets are still available to purchase on the day from the information tent one and a half hours prior to your ceremony.

Where is the live-stream shown?
The live-stream for the December ceremonies will be held in the Alexander & Murdoch lecture theatres.
Guests may enter the Hall 45 minutes before the ceremony begins

How do I access my guest tickets?
Once ordered, a popup will appear prompting you to download your guest tickets. Follow the link and send each individual guest their ticket. You can also complete this process by clinking on the “Click here to download your guest tickets” link in your order confirmation. Please note, you can change or update the guest details and resend them at any time. Please ensure that you have registered and sent your guest tickets prior to the ceremony. If your guests do not have their tickets they will not be permitted entry into the venue or the refreshment area after the ceremony.
Due to numbers, there may be the necessity to assign an extra lecture theatre for live-streaming. If this becomes necessary guests will be escorted to the new venue.

How will my extra guests meet me after the ceremony?
Guests who are enjoying the ceremony via live-streaming will be escorted to Whitfield Court at the conclusion of the ceremony. Guests must present their ticket for entry into the refreshment area.

Can I get a refund on the tickets purchased?
Refunds can be claimed from GFP up to 24 hours before the event.
